01About This Policy

This Privacy Policy explains how the developer named RHPZ Haus and the leasing company RHPZ HAUS, LLC handle personal information gathered through this website and through the cottage leasing desk operated from the South Jordan office. The policy applies to visitors who browse these pages, families who send a leasing enquiry, guests who hold a weekend cabin booking, dock slip lease, season pass plan, kayak rack rental, winter ice-house let or long-stay cottage term, and anyone who contacts the desk by email or telephone.

We have written this policy in plain English so that a guest can understand the whole of it without legal training. Where the policy refers to the Company, it means RHPZ HAUS, LLC, 4712 W Bayview Dr, South Jordan - 84009-1328, United States (US). Where it refers to the site, it means the public pages published at the rhpzhaus.lol web address together with any written leasing correspondence sent from it. Where it refers to a guest, it means any person who holds or applies for a lease, a booking, a pass, a rack bay or a shelter let with the Company.

Reading this page is not a condition of using the site. You may browse the public pages without sending any personal detail at all. A small amount of technical information is recorded by the web server whenever a page is requested, and that processing is described in the section on server logs below. Everything beyond those logs is provided by you, on your own initiative, when you choose to make contact.

This policy should be read together with our Terms of Service, which set out the conditions of a lease and the responsibilities of a guest. The terms are available from the navigation bar at the top of every page.

02Who We Are

RHPZ HAUS, LLC is a limited liability company registered in the United States. The registered address is 4712 W Bayview Dr, South Jordan - 84009-1328, United States (US). The Company leases lakeside cottages, weekend cabins, dock space, shared shore access, rack bays, cold-season shelters and long-stay cottage terms from the leasing desk at that address.

The Company is the controller of the personal information described in this policy. That means the Company decides what information is gathered, why it is gathered and how long it is kept. The leasing desk is the first point of contact for any question about a privacy matter, and the desk will direct a request to the person responsible for the relevant record.

You can reach the desk by email at leasing@rhpzhaus.lol or by telephone on +13255231350 during the business hours published on the contact page. Written correspondence should be addressed to the Company at the South Jordan address above, marked for the attention of the leasing desk.

03Information We Collect

We collect only the information that is needed to answer an enquiry, prepare a lease, hand over a key or a pass card, maintain a dock slip or a rack bay, and close a record at the end of a term. The categories of information we may hold are set out below, and each category is used for the purpose described in the following sections.

  • Contact details that you provide, such as a name, an email address, a postal address and a telephone number.
  • Enquiry content, such as the dates you have in mind, the number of people in your household, the service you are interested in and any question you write in the contact form.
  • Lease application details, such as the names of adults on a lease, the address of a main residence and the dates of a proposed term.
  • Vessel details for a dock slip lease, such as the length, draft, type and registration mark of a craft.
  • Payment records, such as the date and amount of a fee, a receipt number and the last four digits of a payment card where a card is used.
  • Booking and access records, such as a key or pass card number, a rack bay number, a berth number and the dates of issue and return.
  • Correspondence records, including emails, telephone notes and written confirmations exchanged with the desk.
  • Technical information automatically recorded by the web server when a page is requested, as described in the section on server logs.

We do not ask for sensitive categories of personal information. We do not ask for a social security number, a driver licence image, a medical note or a bank statement. If a guest sends such material without being asked, the desk will delete it where it is not needed for a lawful purpose and will keep only the minimum required for a written record.

04How Information Is Used

Personal information is used to answer an enquiry, to check whether a cabin, a berth, a pass, a rack bay or a shelter is free for the requested dates, and to send a written reply that sets out what remains open. It is used to prepare a lease, to issue a key or pass card, to record an inventory at hand-over and to close the inventory at hand-back.

Information is also used to operate the six lease services described on the services page. A dock slip lease needs the length and draft of a craft so that the berth can be matched and surveyed. A kayak rack rental needs a guest number so that gear is not mixed between households. A winter ice-house let needs a current telephone number so that the desk can call a guest if the route across the bay changes. A long-stay cottage term needs a current address and a maintenance history so that the crew can schedule inspections and winter care.

We use correspondence records to keep a written history of a lease. If a guest calls to ask about a maintenance date or a key that was not returned, the desk can look at the record and answer accurately. That record also protects the guest, because it shows what was agreed, when it was agreed and by whom.

We do not use personal information to build a profile for advertising, to sell to a data broker or to train a third-party marketing system. We do not run behavioural advertising on this site, and we do not embed advertising networks inside the pages.

05Legal Basis for Processing

Where the law requires a legal basis for processing, the Company relies on one or more of the following grounds. First, processing is necessary to take steps at your request before entering a lease, and to perform a lease once it has been signed. Second, processing is necessary for the legitimate interests of the Company in operating a safe and well documented leasing business, provided those interests are not outweighed by the rights of the guest. Third, processing may rest on your consent where consent is specifically requested, for example for an optional marketing message. Fourth, processing may be necessary to comply with a legal obligation, such as a tax or accounting duty.

Where processing rests on consent, you may withdraw that consent at any time by writing to the desk. Withdrawal does not affect the lawfulness of processing carried out before the withdrawal, and it does not affect a record that the Company must keep for a legal or accounting reason.

06Cookies and Similar Technologies

This website does not set advertising cookies and does not load third-party tracking scripts. The pages are built from static files, and the only scripts served are those needed for the navigation menu, the reveal animation and the contact form on this site. Those scripts run in your browser and do not send personal information to a remote analytics service.

If the site is later extended with a function that requires a cookie, the desk will update this policy and will describe the purpose and the lifetime of the cookie before the function is introduced. Where a cookie is strictly necessary to deliver a service that you have requested, it will be used on that narrow basis. Where a cookie would serve any other purpose, it will be offered only after a clear choice, and the default will be to decline.

You can control cookies through the settings of your browser. Blocking every cookie will not prevent you from reading the public pages, because the site does not depend on cookies to display its content. Your browser settings may also affect how the contact form opens your mail application, and you should check that your default mail handler is set if you intend to use the form.

07Server Logs and Technical Data

Like every website, this site is delivered by a web server, and that server records a short entry each time a page is requested. The entry typically contains the date and time of the request, the address of the page requested, the browser and operating system reported by the visitor, the referring page where one is supplied, and the internet protocol address from which the request arrived.

These entries are used to keep the site available, to diagnose a fault, to protect the server from abusive traffic and to understand in aggregate which pages are read. They are not used to identify an individual visitor by name, and the Company does not attempt to link a server log entry to a lease record unless there is a security incident that requires investigation.

Log entries are kept for a short period and are then deleted or aggregated. Access to the logs is limited to the people who maintain the hosting environment, and those people are bound by a duty of confidentiality. If a hosting provider is used, the provider acts on the instructions of the Company and is not permitted to use the logs for a purpose of its own.

08Sharing With Others

The Company does not sell personal information. The Company does not rent a contact list. Personal information is shared only in the limited circumstances described in this section, and only to the extent needed for the purpose at hand.

  • With a property host, where the host needs the name and dates of a guest to prepare a cottage for hand-over.
  • With the dock crew, where a berth number, a craft length or a rack bay is needed to prepare a slip or a storage space.
  • With a professional adviser, such as an accountant or a lawyer, where the record is needed for a lawful professional purpose.
  • With a public authority, where the Company is required by law to provide the information or where it is needed to protect a person from harm.
  • With a prospective buyer of the business, where the records must be reviewed as part of a sale, subject to a written confidentiality undertaking.

Where information is shared with a property host or a dock crew, the recipient receives only the minimum needed for the task. A host does not receive payment records, and a crew member does not receive a lease application. The Company keeps a note of any disclosure that goes beyond routine operations so that a question can be answered accurately if one is raised.

09Service Providers

The Company uses a small number of service providers to keep the leasing desk running. A hosting provider stores the static files that make up this website. An email provider carries correspondence between the desk and a guest. An accounting provider holds the fee records that the Company is required to keep. Each provider is chosen with care and is bound by a written agreement that limits the use of the information to the service provided.

Service providers are not permitted to use guest information for their own marketing, to combine it with information from another client, or to transfer it to a further party without the written consent of the Company. Where a provider stores information outside the United States, the transfer is described in the section on international transfers below.

If a provider is replaced, the Company will ensure that the outgoing provider returns or deletes the information held on its behalf and that the incoming provider is bound by the same limits. Guests are welcome to ask which categories of provider are used for a given service, and the desk will answer in writing.

10Payments and Billing Records

Lease fees are recorded in the accounting system of the Company. The record includes the date of the payment, the amount, the service to which it relates, the lease number and, where a card is used, the last four digits of the card and the name on the card. The Company does not store a full card number, a security code or a card verification value in its own systems.

Where a payment is taken through a payment provider, the provider handles the card data and returns only a confirmation and a receipt reference to the desk. The provider is responsible for the security of the card data under its own agreement, and the Company selects providers that meet recognised industry standards for card handling.

Billing records are kept for the period required by tax and accounting law. They may be used to answer a question about a fee, to issue a receipt, to reconcile a deposit or to resolve a dispute about a refund. A billing record is not used for any other purpose, and access is limited to the people who keep the accounts.

11Dock and Slip Records

A dock slip lease creates a record that is specific to the water. The record includes the berth number, the craft details supplied by the guest, the depth reading taken by the crew at the start of the term, and the dates of each inspection. The depth reading protects the guest, because it shows the water available at the berth when the craft was placed there.

Kayak rack rentals create a similar record. The rack bay number, the strap number and the craft registered to the bay are kept so that gear is not mixed between households and so that an unregistered craft can be traced to its owner. Winter ice-house lets create a route-check record, which shows when the approach across the bay was last marked and by whom.

These records are operational. They are kept for as long as the lease runs and for a short period afterwards, so that a question about a berth, a rack bay or a shelter can be answered after the term has ended. They are not shared with another guest, and they are not published on this site.

12Retention of Records

Different records are kept for different periods, according to what the record is for. An enquiry that does not lead to a lease is kept for a short period while the dates are still open, and is then deleted unless the guest asks the desk to keep it for a future season. A lease record is kept for the length of the term and for the period required by tax and accounting law after the term ends.

Server logs are kept for a short period and then deleted or aggregated, as described in the section on server logs. Correspondence that relates to a live lease is kept with the lease record. Correspondence that relates only to a general question is deleted once the question has been answered and the reply has been noted.

When a record reaches the end of its retention period, it is deleted from the active system. A backup copy may persist for a limited time in a secure archive before it is overwritten in the ordinary course of backup rotation. If a legal hold applies to a record, the deletion is paused until the hold is lifted.

13Security of Information

The Company protects personal information with a combination of technical and organisational measures. Access to the leasing records is limited to the people who need it for their work, and each person uses a separate account. Records are held on systems that are kept current with security updates, and the hosting environment is configured to serve static pages without exposing a database to the public internet.

Paper records that relate to a lease are kept in a locked cabinet at the South Jordan office. Keys and pass cards are stored in a keyed cabinet and are entered in the ledger when they are issued and when they are returned. A key that is not returned is recorded as outstanding and is followed up by the desk.

No system can be guaranteed to be perfectly secure. If a breach occurs that is likely to result in a risk to the rights of a guest, the Company will notify the affected guests and any authority that the law requires without undue delay, and will describe what happened and what has been done to reduce the risk. If you suspect that your information has been misused, please contact the desk at once on +13255231350.

14International Transfers

The Company operates from the United States, and the leasing records are held there. If you contact the desk from another country, your information will be transferred to the United States so that the desk can answer you and, where a lease follows, so that the lease can be performed. The laws of the United States may differ from the laws of the country in which you live.

Where a service provider stores information outside the United States, the Company takes steps to ensure that the transfer is protected. Those steps may include a written agreement that imposes confidentiality and security duties on the provider, or a recognised transfer mechanism where one applies. The Company does not transfer information to a country or a provider that does not offer adequate protection for the information concerned.

If you have a question about where a specific record is held, the desk will answer in writing and will explain the safeguards that apply to that record.

15Your Rights

Subject to the law that applies to you, you may have the right to ask whether the Company holds personal information about you and to receive a copy of it. You may ask for a correction where the information is inaccurate or incomplete. You may ask for deletion where the information is no longer needed, where you have withdrawn consent and no other basis applies, or where the processing is unlawful. You may object to processing that rests on the legitimate interests of the Company, and you may ask for a restriction on processing while a question is resolved.

You may also ask for a portable copy of the information that you provided, in a structured and commonly used format. Where processing rests on consent, you may withdraw that consent at any time. You may lodge a complaint with a supervisory authority in your country if you believe that the Company has not handled your information lawfully.

To exercise a right, write to the leasing desk at leasing@rhpzhaus.lol or by post to RHPZ HAUS, LLC, 4712 W Bayview Dr, South Jordan - 84009-1328, United States (US). Please describe the right you wish to exercise and the record you are asking about. The desk may ask for proof of identity where the request concerns a record that is not already public, so that information is not released to the wrong person. A reply will be sent within the period required by the applicable law, and where more time is needed the desk will explain why.

16Privacy for Children

This website is intended for adults who are arranging a lease. The Company does not knowingly collect personal information from a child under the age of thirteen. A cabin booking or a lease may name children as members of a household, but the application is made by an adult, and the contact details held are those of the adult.

If the desk learns that personal information about a child has been provided directly by the child without the involvement of a parent or guardian, the desk will delete the information as soon as it is discovered. A parent or guardian who believes that a child has sent information to the desk may contact the desk on +13255231350, and the information will be removed without charge.

We do not direct advertising to children, and we do not use a child as the subject of a marketing message. Where a photograph taken at the shore shows a child, the Company will not publish it without the written consent of a parent or guardian.

17Marketing Messages

The Company sends occasional messages to guests who have asked to hear about the opening of a season window, a berth that has become free, or a change to the ice-house schedule. These messages are sent only to guests who have requested them, and every message includes a simple way to stop receiving them.

You may stop marketing messages at any time by writing to leasing@rhpzhaus.lol or by calling the desk. A request to stop is recorded and is applied to all future marketing messages. Stopping a marketing message does not stop a service message that relates to a live lease, such as a notice that a maintenance date has moved or that a key must be returned.

The Company does not buy a contact list and does not add a guest to a marketing list because the guest made an enquiry. An enquiry is answered as a service, and a separate request is needed before any marketing message is sent.

18Third Party Links

This site may include a link to a page operated by another organisation, such as a mapping service or a payment provider. When you follow such a link, you leave the pages of the Company and the privacy policy of the other organisation applies. The Company does not control the content or the practices of another organisation and is not responsible for the way it handles personal information.

We encourage you to read the privacy notice of any organisation before you send it personal information. If a link on this site appears to be broken or misleading, please tell the desk so that it can be corrected.

19Changes to This Policy

The Company may update this policy from time to time to reflect a change in the law, a change in the services offered, or an improvement in the way information is handled. When the policy changes, the effective date at the top of the page is updated, and a summary of the change is kept with the record of the policy.

Where a change materially affects the rights of a guest, the desk will notify guests who hold a live lease by email or by telephone before the change takes effect. A guest may then ask a question about the change or exercise a right described in this policy.

The current version of the policy is always the version published on this page. A copy of an earlier version can be requested from the leasing desk, and the desk will provide it where the record is still available.

20How to Contact Us

Questions about this policy, a request to exercise a right, or a concern about the way information has been handled should be sent to the leasing desk. The desk is the first point of contact and will direct the matter to the person responsible for the record concerned.

Write to RHPZ HAUS, LLC, 4712 W Bayview Dr, South Jordan - 84009-1328, United States (US). Email the desk at leasing@rhpzhaus.lol or call +13255231350 during business hours. The desk aims to answer every privacy question in writing, and to keep you informed if a matter takes longer than expected.

If you are not satisfied with the reply, you may raise the matter with the supervisory authority in your country or with the office of the attorney general of the state in which the Company is registered. You may also return to the homepage from the link in the footer below at any time.
